Most small businesses choose a CRM by demoing two or three well-known options and picking whichever interface feels most comfortable. That is a reasonable tie-breaker, but it is rarely the thing that determines whether the CRM is still in genuine daily use a year later.

Whether it fits how your team already communicates

If your team and your customers already communicate mainly over WhatsApp, email or a specific messaging channel, check the CRM’s native or well-supported integration with that channel before anything else. A CRM that requires your team to manually log conversations that happened somewhere else will simply stop being used within a few months, regardless of its feature list.

Whether it can grow past the first fifty contacts without becoming unmanageable

Many affordable CRMs work well with a small contact list and become unwieldy once a business has genuine pipeline volume, multiple sales stages and several people needing different views of the same data. Ask specifically how the system handles that growth, rather than judging it only on your current, smaller contact list.

Who actually sets it up, and who maintains it

A CRM configured once at launch and never revisited drifts out of step with how the business actually sells within a few months. Decide, before you buy, who owns keeping the pipeline stages, automations and reporting current, because an unmaintained CRM is worse than no CRM: it creates false confidence in data nobody trusts.
